How we handle personal information

1. Who this policy covers

LearnForgePlus (we, us and our) operates an online course-creation and learning platform. This Privacy Policy describes how personal information is handled when people visit the website, open creator or learner accounts, use AI tools, enrol in courses, make or receive payments, or contact us. The applicable operator’s identity and contact particulars can be requested using the details below.

Course creators may also independently collect and use information relating to their learners, including information obtained outside LearnForgePlus. A creator’s own privacy practices may apply in addition to this Policy. We do not assume responsibility for independent handling by creators beyond obligations imposed on us by law.

2. Information collected and held

Information may include names, email addresses, login identifiers, authentication records, profile information, administrator roles, creator organisation details, uploaded courses, images, videos and documents, learner enrolments, quiz responses, completion records, account settings and support communications.

We may also hold transaction references, subscription status, refund request records, invoice information, IP addresses, device and browser information, security events and other technical logs. Payment card details are generally collected and managed by the relevant payment provider rather than by LearnForgePlus. We do not ask users to provide full card numbers in support requests.

3. How information is collected

Information is obtained directly when you register, publish content, submit an enquiry, select a paid plan or use a learning feature; automatically when you access the Services; and, where relevant, from connected sign-in services, payment providers, course administrators or other integrations authorised for your account.

You may browse public information without opening an account. Some services require identifying and contact details, and we may be unable to provide those services without the information necessary for account creation, payment administration or security.

4. Purposes of collection, use and disclosure

Information is used to establish and secure accounts; host and deliver courses; process enrolments and learning progress; manage creator workspaces; provide requested AI functionality; administer subscriptions, transactions and refunds; answer support requests; prevent fraud and misuse; investigate reports; comply with legal obligations; and maintain and improve the service.

Where commercial electronic messages are sent, we will apply the consent, sender-identification and unsubscribe requirements of the Spam Act 2003 (Cth) and other applicable laws. Account and security notices are treated separately from optional promotional communications.

5. AI features and information submitted to them

LearnForgePlus provides separate AI-assisted workflows for course outlines and lesson content, writing improvements, quizzes and images. When you invoke a feature, the text, instructions and relevant course material necessary to fulfil the request may be processed by an external AI provider. Do not submit sensitive or confidential information about another person without appropriate authority.

AI outputs require independent review by the creator. External AI processing, storage location, retention and any model-training arrangements depend on the providers and technical configuration in use. We do not represent that information submitted to an AI service is excluded from training unless the applicable provider arrangement confirms that exclusion.

If an automated system is used to make, or materially contribute to, a decision affecting a person’s rights or interests, we will provide any additional information and safeguards required by applicable law. The creator-facing content generation features do not themselves constitute verification of a learner’s qualifications or identity.

To help address reported or suspected violations of the AI Content & Safety Policy, relevant requests, images, associated account records and usage metadata may be reviewed or preserved where reasonably necessary for security, abuse prevention, investigation or legal compliance. We may share information with competent authorities where required or authorised by law. This description does not mean every prompt or image is continuously monitored.

6. Service providers, recipients and overseas disclosures

Personal information may be disclosed to service providers supporting hosting, storage, authentication, email delivery, customer support, AI processing, security and payments, and to a course creator or organisation where reasonably necessary to deliver a learner’s enrolment and course experience. Payment services, including Stripe where connected, may handle payment and identity information under their own privacy terms.

Some external recipients may process personal information outside Australia. Countries of likely disclosure depend on the actual hosting, AI and support providers engaged. Where it is practicable to identify those countries, they will be disclosed through this Policy or accompanying collection notices in accordance with applicable law. Where the Australian Privacy Principles apply, cross-border disclosures are managed subject to APP 8 and its exceptions.

We may also disclose information where required or authorised by law, to protect rights or safety, or as part of a lawful business transaction subject to appropriate safeguards.

7. Security, retention and account closure

We use reasonable administrative and technical safeguards appropriate to the sensitivity of the information and the risks involved. No networked platform can offer an absolute security guarantee. Users are responsible for safeguarding their own credentials and reporting suspicious activity.

Information is held while it is reasonably needed for the purposes described in this Policy, applicable record-keeping requirements, fraud prevention and dispute resolution. Following account closure, some records may remain where legally required or reasonably necessary for those purposes. Where no longer needed, personal information is deleted or de-identified where practicable; removal from backups may occur over a separate cycle.

8. Access, correction and complaints

You may request access to, or correction of, personal information held about you by emailing [email protected]. You may also ask about deletion, account closure or other privacy rights available under applicable law. We may request proportionate information to verify identity and may be unable to give access to information about another person.

Privacy complaints should identify the concern, relevant circumstances and an appropriate reply address. We will consider the concern, make reasonable enquiries and communicate the outcome or next steps. Where the Privacy Act 1988 (Cth) applies, you may also make a complaint to the Office of the Australian Information Commissioner at oaic.gov.au, subject to its applicable complaint process.

9. Children, cookies and changes

Account holders must have the legal capacity or appropriate permission necessary for their use of the Services. Parents or guardians concerned about a minor’s account may contact the privacy address. We do not encourage users to enter unnecessary sensitive information in course content or AI requests.

Cookies and similar browser technologies are addressed in the Cookies Policy and Cookie Preferences pages. We may revise this Policy where our processing practices or legal requirements change. Material changes will be notified where law requires.

10. Contact

For privacy enquiries, complaints and personal information requests, email [email protected]. Legal notices may also be sent to [email protected]. Please do not include passwords, full payment-card details or unnecessary sensitive information in an initial message.
